Pickup Mtaani — Delivery & Collection Policy

Rules for buyers, sellers, and designers when orders are fulfilled through Pickup Mtaani on Niya Afrika. Updated to reflect carrier requirements and our fashion marketplace standards.

1. Overview

Niya Afrika uses Pickup Mtaani as an independent delivery and collection partner for orders placed on our platform. When you buy, sell, or design on Niya Afrika, the physical movement of parcels is governed by Pickup Mtaani's terms in addition to our Terms of Use.

This page summarises carrier rules that affect buyers and sellers. For full carrier details, agent hours, and bookings visit pickupmtaani.com.

2. Niya Afrika fashion-only shipping

  • Niya Afrika is a fashion marketplace — listings must be wearable fashion, footwear, or fashion accessories suitable for Pickup Mtaani.
  • Made-to-order pieces need realistic lead times before the seller hands off to Pickup Mtaani.
  • High-value items remain subject to Pickup Mtaani's KES 2,000 liability cap — pack accordingly.

3. Pickup Mtaani offices & hours

  • Nairobi CBD — Philadelphia House next to Afya Centre, 3rd Floor Wing A (Pickup Mtaani)
  • Nairobi — StarMall 3rd Floor, Shop C1 & C2 (Pickup Mtaani)
  • Mombasa — Greenland Plaza Shopping Mall, 4th Floor RM F404B (Pickup Mtaani)

Operational hours: Mon–Fri 8:30am–7:00pm · Sat 9:30am–6:00pm · Closed Sundays · Public holidays 9:30am–4:00pm

4. Items Pickup Mtaani does not deliver

Pickup Mtaani may refuse any parcel that falls outside their accepted categories. The following are not allowed on Niya Afrika when shipping via Pickup Mtaani:

  • Money, contraband, food, flowers, and groceries
  • Explosives, ammunition, and flammable goods
  • Pets, ashes, and human remains
  • Bulky or heavy packages (large suitcases, big boxed items, oversized pillows, etc.)
  • Electronics (phones, laptops, TVs, microwaves, etc.)

Fragile goods are carried at the sender's risk. Pickup Mtaani may refuse parcels that lack proper protection (e.g. bubble wrap for glass cosmetics). Damage claims on fragile items may be declined.

5. Packaging & labelling

Every parcel must be properly sealed and visibly labelled. Labels should include:

  • Sender name & phone number
  • Office or agent where the parcel was dropped
  • Date dropped
  • Receiver name & phone number
  • Delivery location (agent point or doorstep address)

Pickup Mtaani reserves the right to refuse parcels that do not meet packaging and labelling standards.

6. Delivery schedules (summary)

Nairobi CBD shifts

  • First shift: 10:00am – 3:00pm
  • Second shift: 3:00pm – 7:00pm

From mtaani agents

  • Dropped before 10:00am — often delivered same day between 3:00pm–7:00pm (subject to carrier capacity).
  • Dropped after 2:00pm at a mtaani agent — typically next-day delivery.
  • Dropped 10:00am–4:00pm at an agent — evening collection for next-day 10:00am–3:00pm window.
  • Dropped after 5:00pm at an agent — typically following day 3:00pm–7:00pm.

Doorstep delivery

  • Same-day doorstep from town offices when dropped before 4:00pm; after that, next day.
  • Same-day from mtaani agents when dropped before 2:00pm; after that, next day.
  • Delivery windows are schedule-based (approx. 2–3 hours from dispatch) — not fixed appointment times.

Timelines on Niya Afrika are estimates. Made-to-order fashion may add production time before the seller drops the parcel at Pickup Mtaani.

7. Buyer responsibilities

  • Collect agent parcels within 3 days of arrival — uncollected items may return to Nairobi CBD.
  • Bring your Pickup Mtaani notification or valid national ID / passport when collecting.
  • Report damaged or tampered packaging while still at the agent — take photos immediately.
  • Submit carrier claims in writing within 10 days of delivery (Pickup Mtaani policy).
  • Understand carrier liability is capped at KES 2,000 per claim unless otherwise required by law.
  • Storage fees (KES 100/day) may apply after 10 days from dispatch if parcels are not collected.

Uncollected agent parcels: held up to 3 days, then returned to Nairobi CBD. Senders are notified by SMS (not guaranteed). Returned parcels must be collected within 7 days; uncollected returns may be disposed after 30 days.

8. Seller & designer responsibilities

  • List only fashion items Pickup Mtaani accepts — no electronics, bulky goods, or prohibited categories.
  • Package must be sealed, labelled clearly, and match the order on Niya Afrika.
  • Capture the shipment in the Pickup Mtaani app/website and keep the digital receipt & tracking code.
  • Drop parcels at your registered Pickup Mtaani agent within the carrier's daily cut-off windows.
  • Use bubble wrap or protective layers for delicate pieces (beading, glass, structured accessories).
  • Notify Pickup Mtaani via their official channels when required (receipt or package image per carrier process).
  • Repeated refusals, mislabelling, or prohibited items may lead to listing removal or account suspension on Niya Afrika.

Sellers must complete pickup setup on Niya Afrika and hand off paid orders at their registered agent using the desk code shown in the seller dashboard.

9. Claims, damage & liability

  • Written claims to Pickup Mtaani must be made within 10 days of delivery.
  • Maximum payable for a single loss or damage claim: KES 2,000 (carrier policy).
  • Report damaged or tampered parcels while still at the pickup agent — with photos.
  • Fragile fashion (beaded work, glass packaging, etc.) is at sender/owner risk under Pickup Mtaani rules.
  • Refund documentation may require sender/buyer M-Pesa records and product images — per carrier claim process.

Niya Afrika helps coordinate support but is not the carrier. Carrier limits apply to the logistics leg even when the order was placed on Niya Afrika.

10. Collection ID

Receivers must present the Pickup Mtaani notification message or valid national ID / passport. The carrier may withhold a parcel if identity cannot be verified.
